This policy applies to personal information processed by GBS Engineering Services through this website and in connection with enquiries and prospective commissions.
1. Information collected
Information may include your name, organisation, contact details, project location, project description, correspondence and files that you choose to submit. Technical information such as an IP address may also be processed by the website host and form provider for security and delivery purposes.
2. How information is obtained
Information is generally supplied directly by you through the quotation form, email, telephone or subsequent correspondence. It may also be provided by another person involved in the same project where this is appropriate.
3. Purposes and lawful bases
Information is used to review and respond to enquiries, prepare quotations, decide whether a commission can be accepted, maintain records and protect the security of the website and communications. Processing is generally based on taking steps at your request before entering a contract, performing a contract, complying with legal obligations and legitimate interests in operating and protecting the consultancy.
4. Form provider
The website quotation form is processed using FormSubmit, a third-party form delivery service. Submissions and attachments are transmitted through that service to the consultancy email account. Do not use the form for highly sensitive information. You may instead make initial contact by telephone or email and agree a suitable transfer method.
5. Sharing information
Information is not sold. It may be shared where reasonably necessary with service providers such as website hosting, email and form-processing providers; professional advisers; insurers; regulators; public authorities; or other project participants where authorised or required. Appropriate care is taken to limit disclosure to what is necessary.
6. International transfers
Some technology providers may process information outside the United Kingdom. Where this occurs, the provider is responsible for implementing an appropriate legal transfer mechanism and safeguards. Clients should avoid submitting sensitive information until a suitable transfer route has been agreed.
7. Retention
Unsuccessful or preliminary enquiries are retained only as long as reasonably needed for administration, follow-up, dispute prevention and legal obligations. Information relating to accepted commissions may be retained for longer periods appropriate to professional, contractual, insurance and statutory requirements.
8. Security
Reasonable administrative and technical measures are used to protect information. No internet transmission or email system can be guaranteed completely secure, so confidential project data should be transferred using an agreed secure method where appropriate.
9. Your rights
Depending on the circumstances, UK data protection law may give you rights to access, correct, erase or restrict personal information, object to processing, receive certain data in a portable form and complain to the Information Commissioner’s Office. Some rights are subject to legal exceptions.
10. Contact
Privacy enquiries should be sent to enquiries@gbsengineeringservices.com. Please include enough information to identify the relevant enquiry or correspondence.
11. Changes
This policy may be updated when services, providers or legal requirements change. The date shown above identifies the current website version.
